SmartSearch

Overview

SmartSearch is available in the left-hand menu on every page. Use it to jump straight to customers, numbers, invoices, and other records without navigating through menus.

Type in the search box and suggestions appear as you type. Click a suggestion to open that record, or press Enter to open the full result list.

If you are already viewing a customer, SmartSearch prioritises results related to that customer. This makes it easy to find a specific invoice or number without leaving the customer page.

By default, SmartSearch looks at the most common fields for each record type. To widen your search, start your query with a tilde (~). This tells SmartSearch to check extra fields that are not included in a standard search.

For example:

  • ~Acme searches extra customer fields such as address and postcode, not just the company name.
  • ~London can match location fields on records that a normal search would skip.

Expanded searches may take slightly longer as more fields are checked.

Customers

SmartSearch matches customers by account number, company name, contact name, or registered email address.

If you need to find a customer by their address or postcode, use the ~ prefix to include those fields.

Numbers

Find numbers by searching for the number itself, the CDR number, or the description assigned to it.

Use the ~ prefix to also search by site name.

Features

Search for features by their description text.

Invoices

Search by the full invoice number to go directly to a specific invoice.

You can also use shorthand to find invoices quickly:

  • AccountNumber/Unsent shows unsent invoices for that account.
  • AccountNumber/Latest shows the most recent invoice for that account.

If you are already on a customer or invoice page, you can usually leave out the account number and just type /Unsent or /Latest.

Payments

Find payments by searching for either your reference or the customer reference.

Tickets

Search for tickets by their ticket number (which starts with TK#) or by the ticket subject line.

Notes

Find notes by searching for the note subject.

Email Addresses

Search by email address to find related records.

This works differently from searching for a customer by email:

  • Customer email search finds customers who currently use that email address.
  • Email address search finds all accounts that have ever sent emails to that address, including historical records.

Direct Debit Accounts

Find direct debit accounts by searching for your reference, the customer reference, or the provider reference.
