Former customer balances
Use Credit Control > Former Customer Debt or Former Customer Credit to review balances left on closed accounts.
What you need: Credit Control access, customer and invoice visibility, and the permissions for your chosen write-off method.
Review the balance
Section titled “Review the balance”The lists show net balances on raised invoices for dropped and Final Bill accounts with a recorded drop date.
The default is accounts dropped at least six months ago. Change the age filter when you need a different period. Totals are kept separate by currency.
Open the customer to check invoices, payments and existing TODOs before deciding what to do. Use Add TODO to assign follow-up.
Review a write-off
Section titled “Review a write-off”Finance, or an authorised colleague, should confirm the balance and write-off method before posting anything.
- Choose Quick write-off payment or VAT-aware credit / debit note.
- Select eligible accounts, enter the write-off date and add activity details where useful.
- For a VAT-aware note, select the VAT treatment offered by the form.
- Review the accounts and amounts, then confirm the write-off.
- Read the results for every account. Recheck any account skipped because its balance or eligibility changed.
Quick write-off payment records and allocates a write-off payment against the raised-invoice balance. It requires payment-entry permissions and a non-zero balance in whole pennies.
VAT-aware credit / debit note uses the customer’s write-off action and its invoice-balance rules. It requires a fully dropped account. Final Bill accounts cannot use this method until fully dropped.
If document production fails after posting, the result tells you to complete production from the credit or debit note.
Closing a chase case as abandoned does not write off the financial balance.
