Calendar and TODOs
The calendar shows your work in date order: the TODOs you have to do, and the dated things the CRM is tracking for you. It sits in the Workspace group of the menu, so it is the same calendar whichever section you work in.
Four views share the same data: Day, Week, Month and Agenda. Arrows step through periods and Today returns to now.
Layers
Section titled “Layers”The Layers menu decides what appears. TODOs are always on; the rest you turn on and off as you need them.
| Layer | Shows |
|---|---|
| TODOs | Your tasks, by due date. Always shown. |
| Snoozed TODOs | Tasks you have pushed out. |
| Completed TODOs | What you have finished, for looking back. |
| Deal close dates | The target close date on each open deal. |
| Proposal expiries | When each outstanding proposal stops being valid. |
| Chase actions | The next action date on each open chase case. |
| Case follow-ups | The follow-up date on each case. |
Each layer needs the permission for the records behind it, so a layer you cannot see simply is not offered.
Whose work you see
Section titled “Whose work you see”The Showing picker offers Mine, Everyone and one entry per team. It appears only for operators who can view others’ work; everybody else sees their own calendar.
Working from the calendar
Section titled “Working from the calendar”- New TODO raises a task with a subject, due date and details.
- Drag a TODO to another day to reschedule it. Only TODOs move; the other layers are read-only, because their dates belong to the record.
- Click an entry to open a panel where you can change the due date, Reschedule, Complete or Close it.
TODO follow-ups can carry an optional time of day as well as a date, picked in fifteen-minute steps. Timed follow-ups appear on the follow-up status bar along the bottom of the screen, which counts down to your next one and turns amber then red as it falls due.
The calendar feed
Section titled “The calendar feed”You can subscribe to your CRM calendar from Outlook, Google Calendar or Apple Calendar, so your tasks appear alongside your meetings.
To set it up:
- Open the calendar and choose Calendar feed.
- Choose Enable feed.
- Copy the address it gives you and add it as a subscribed calendar in your calendar application.
Things to know:
- The address is personal and secret. Anyone holding it can read your calendar without signing in, so treat it like a password.
- The feed is read-only. Changes made in your calendar application do not come back to the CRM.
- If the address is ever exposed, use Regenerate to mint a new one, which immediately stops the old address working. Disable switches the feed off altogether.
- Enabling, regenerating and disabling the feed are recorded in your activity log.
Related pages
Section titled “Related pages”- TODO Management for the full TODO reference, including automatic TODOs, quick actions and repeat rules.
- Daily CRM Tasks email for the digest that arrives by email rather than on screen.
