Stock Numbers
Stock Numbers is an inventory of the memorable, gold and premium numbers you hold for sale, each with a category and suggested prices. Offering one onto a deal reserves it, so two salespeople can never sell the same number.
What you need: the Sales section, permission to see stock numbers, and the Stock Numbers feature. Adding, withdrawing and releasing need edit permission as well. Offering a number onto a deal is authorised as a deal action, not here.
The list
Section titled “The list”The header counts what is available, what is reserved and how many holds have gone stale.
Columns are the number, its category, type, suggested one-off and monthly prices, its status, and who it is reserved for. A reservation shows the customer, the deal, how long it has been held and by whom. Where you cannot see that customer it reads Restricted reservation instead.
Filter by number, category, status (Available, Reserved, Sold, Withdrawn) and a Stale holds only tick box.
Adding numbers
Section titled “Adding numbers”New stock number adds one at a time with its category and suggested prices.
Bulk add takes a list. One number per line, optionally with a category and prices:
0800 456456, Gold, 500, 100800 123123, Gold, 500, 100333 900900Choose the currency, paste the list and choose Add to stock. The result reports how many were added and how many were skipped, with the reason against each rejected line, such as an unknown category or a price that is not a number.
Offering a number onto a deal
Section titled “Offering a number onto a deal”You can start from either end: Offer on deal from the stock list, or Add stock number on a deal’s number row.
What you need first: a pre-sale number record on the deal with no number yet. Add the number record, leave its number blank, then attach the stock number to it.
Required: the deal, and the blank number record to attach to.
Optional: a Premium Standard Feature. Leave it blank and the number gets a plain feature carrying the suggested charges instead.
What happens:
- The stock row is claimed for the whole deal group in a single step, so nobody else can offer it while you hold it.
- The digits land on the deal’s number record.
- A premium line item is created carrying the suggested one-off and monthly prices, so deal totals, the proposal page and the proposal PDF all pick it up with no extra work.
Important: the currency and the number type must match. A stock number can only be offered to deals in its own currency, and only fits a deal number record of the same type.
Releasing and selling
Section titled “Releasing and selling”Remove Stock Number on the deal drops the premium line item, clears the digits from the record (the record itself survives) and returns the number to the pool, unless another open deal in the same group still holds it.
Reservations look after themselves as the deal moves:
- Deal lost or dropped - the reservation is released.
- Deal goes live - the number is marked Sold and linked to the live record.
- Closed deal reopened - the number is claimed again where it is still free. If somebody else took it in the meantime, the deal timeline says so.
Withdraw takes a number out of the catalogue; Reinstate puts it back.
Stale holds
Section titled “Stale holds”A reservation older than the stale hold period is badged stale Nd and appears in a queue on Sales Home and in the Daily CRM Tasks email.
Stale holds are never released automatically. The badge is a prompt to go and ask the salesperson, not an expiry.
Things to know
Section titled “Things to know”- Numbers in stock are added to the ignore-traffic list automatically when you add them, and taken off it when they are sold or withdrawn, so a number sitting in inventory never generates unexplained call traffic.
- Renewal and amend-in-place records are not valid targets for a stock number.
- Categories are a managed list, maintained alongside the other CRM settings.
